Booking terms and conditions

These terms, together with your written proposal, form your agreement with Highland Adventures Inc. Your proposal states the specifics: price, inclusions, deposit, balance schedule, and the cancellation terms for your trip.

Who we are and what you are buying

Highland Adventures Inc. (Registered Florida Seller of Travel, No. ST37447) designs and coordinates complete trips. We act as an independent trip designer and booking coordinator: the transportation, accommodation, guiding, and activity services in your itinerary are delivered by vetted, licensed local operators and suppliers, each under its own terms of service.

Your proposal document lists exactly what is included and excluded, the total price, the deposit, and the balance schedule. The proposal you accept, together with these terms, forms your agreement with us.

Payments

Your deposit reserves your trip and lets us start securing reservations with local partners. The balance is due by the date stated in your proposal; card deposits are processed by Stripe, and balance payments may be made by ACH or wire transfer.

Until every key component of your trip is confirmed by its supplier, your trip status is "Reserved, pending confirmation". We will never present a reservation as confirmed before it is.

Changes and cancellations

The cancellation and refund schedule for your specific trip is stated in your proposal document; supplier-imposed conditions (for example non-refundable permits, train fares, or cruise cabins) are identified there as well.

Government permits and regulated entry tickets (including Machu Picchu entry and Inca Trail permits) are issued against passport details, are typically non-transferable and non-refundable once issued, and are governed by the issuing authority's rules, which can change.

If a supplier cancels or materially changes a confirmed service, we will present you the best available alternative; if no acceptable alternative exists, we will refund what we can recover from the supplier for that service, per your proposal's schedule.

Your responsibilities

You are responsible for providing accurate traveler details exactly as printed in each traveler's passport, for holding a passport valid for your destination's entry requirements, and for obtaining any required visas and vaccinations.

Travel insurance covering trip cancellation, medical care, and evacuation is required for adventure itineraries and strongly recommended for every trip.

Liability

We select and vet local operators with care, but we do not own or operate the underlying travel services. To the fullest extent permitted by law, our liability for the acts or omissions of suppliers is limited to the amounts we have been paid for the affected services. A separate release of liability is presented for signature before travel on itineraries that require one.

Nothing in these terms limits liability that cannot be limited under applicable law, including Florida Seller of Travel obligations.

Data and documents

We collect traveler details solely to operate your trip: permits, tickets, and supplier reservations. Passport and health details are stored encrypted, shared only with the suppliers and authorities that require them, and purged after your trip per our retention policy. Your signed documents and receipts stay available in your trip space.
